Lead response time: why the first call decides the deal

A buyer who enquires on a portal is usually talking to several brokers at once. Here is how to set a response target your team can actually keep, and how to measure it honestly.

When a buyer fills a form on a property portal, they rarely fill just one. They are usually comparing several projects and several brokers in the same evening. The broker who calls first, sounds prepared and books a site visit is the one who stays in the conversation. Everyone else is calling a person who has already made plans.

This guide is about making that first call happen quickly and consistently, without burning out your team.

Why speed matters more than the script

A fresh enquiry is a buyer with a question on their mind right now. A few minutes later they are on another listing, in a meeting, or speaking with someone else. Calling quickly is not about being pushy; it is about reaching the buyer while they still remember why they enquired.

Speed also protects the money you have already spent. Whether the lead came from a paid portal package, a social media campaign or a hoarding, you paid for that enquiry. A lead that is never called back is the most expensive lead you have.

Set a target your team can keep

Pick one response target for new leads during working hours and write it down. Many brokerages choose a target measured in minutes, not hours. RealtyIQ's owner dashboard uses fifteen minutes as its default "slow lead" line, but the right number is the one your team can meet every day.

  • Define working hours. A lead that arrives at 11 pm should be called first thing in the morning, not judged against a fifteen-minute target.
  • Define what counts as a response. A real call or a personal WhatsApp message counts. An automatic "thank you for your enquiry" does not.
  • Measure from assignment. If leads wait in a shared inbox before anyone picks them up, measure from the moment the lead arrived, so the waiting time is visible.

Route every lead to one named person

Most slow responses are not laziness. They happen because nobody is sure whose lead it is. Fix ownership first:

  1. Round robin works well when brokers cover the same areas. Each new lead goes to the next broker in turn.
  2. Territory routing works when brokers specialise, for example one broker for Whitefield and Varthur, another for OMR and Thoraipakkam.
  3. A fallback rule covers leave and days off, so a lead never sits with someone who is not working today.

Whatever you choose, the broker should get the lead on their phone straight away, with the project the buyer asked about and a one-tap call button.

Prepare before you dial

A fast call that sounds unprepared does more harm than a call two minutes later. Before you dial, glance at three things: which project or listing the buyer enquired about, their stated budget or configuration, and whether they have enquired with you before. A returning buyer who is greeted like a stranger notices.

Open with who you are and why you are calling: "Hello, this is Kiran from Forest24 Realty. You asked about 2 BHK homes in Gunjur a few minutes ago, is this a good time?" Then ask, do not pitch. The goal of the first call is a site visit or a clear next step, not a sale.

When the buyer does not pick up

Missed calls are normal. Send a short, personal WhatsApp message (only if they shared that number for contact and agreed to be messaged) saying who you are and what you can send them. Then set a follow-up time in your CRM so the second attempt is not left to memory. Two or three thoughtful attempts across different times of day are better than ten calls in an hour.

Measure it honestly

Track two numbers each week: how long new leads waited for a first real response, and how many leads never got one. Look at them per broker and for the team. Use them for coaching, not punishment: a broker with slow responses is often overloaded or covering too many areas.

Review the slowest leads every Monday. Ask what happened, fix the routing or the workload, and move on. Over a few weeks the habit of calling fast becomes part of how your team works, and the leads you already paid for stop slipping away.
